Time Tracking for Project Management in scalenow AI
The Time and Costs functionality in scalenow AI enables effective tracking of resources, including labor and budgets. It allows you to maintain control over planned and actual time and expenses for your projects.
With scalenow AI, you can create budgets, log time and costs for specific work packages, and generate detailed reports based on your requirements.

scalenow AI provides tools to track and monitor the progress of work packages efficiently.

Units of Measurement
Work and Remaining Work can be measured in either hours or days and hours (configured by the administrator).
•Different input formats are supported for defining time in scalenow AI
• 2 hours and 30 minutes: "2.5", "2.5h", "2h 30m", "2 hours 30 minutes"
• 6 days: "48", "48 hour", "6d 0h", "6 days"
•By default, scalenow AI assumes 8 hours per day, but this can be adjusted by the administrator.

Work Packages
scalenow AI, offers two progress tracking approaches:
1.Work-Based Progress Reporting
- Users can manually enter % Complete
- Automatically calculates % Complete based on Work and Remaining Work values.
2.Status-Based Progress Reporting
- Assigns predefined % Complete values to different statuses.
- Automatically calculates Remaining Work based on status updates.
Note: The selected mode applies across the entire instance and can be modified by the administrator.
Work-Based Manual Entry
Manual Entry of % Complete
If you prefer to enter % Complete manually, you can do so in both the table view and the work package details view.
•Values for Work and Remaining Work are not required when entering % Complete manually.
•If neither Work nor Remaining Work is provided, the % Complete field remains independent and editable, functioning.


Work Based Automatic updates
Automatic Calculation of % Complete
When a value is entered for % Complete along with either Work or Remaining Work, the third field is automatically derived based on the other two. This means:
•There will always be one manually entered value or all three values filled in—never just two.
Formula for % Complete Calculation:
\% Complete = \frac{(\text{Work} - \text{Remaining Work})}{\text{Work}} \times 100
For example, if Work is set to 50 hours and Remaining Work is 30 hours, then:
(50h - 30h) / 50h = 40\%
These calculations are independent of Spent Time, which tracks actual logged hours.
How Values Are Updated

Whenever you edit Work or Remaining Work in scalenow AI ,a preview pop-up displays the updated % Complete before saving.
•Adjusting any field automatically updates the other two.
•A notification appears explaining the changes.
Calculation Logic
When No Fields Are Set
If none of the fields (% Complete, Work, or Remaining Work) have values, the first field entered determines how the others behave:
•Entering % Complete only: No other values are updated.
•Entering Work only: Remaining Work auto-fills to match Work, and % Complete is set to 0%.
•Entering Remaining Work only: Work auto-fills to match Remaining Work, and % Complete is set to 0%.
When One Field is Already Set
Entering a second field triggers an automatic calculation for the third:
If Work is set and % Complete is entered → Remaining Work is auto-calculated.
If Remaining Work is set and % Complete is entered → Work is auto-calculated.
If Work and Remaining Work are entered → % Complete is auto-calculated.
Validation Rules & Error Handling
If Remaining Work > Work, an error message appears. The value must be adjusted before saving.
If % Complete = 100%, Remaining Work must be 0h, otherwise, an error will occur.
Remaining Work cannot be cleared if Work is set—both need to be removed together.
Behavior When All Fields Are Set
1. Increasing Work → Also increases Remaining Work by the same amount, updating % Complete accordingly.
2. Decreasing Work:
If Work is reduced, Remaining Work decreases by the same amount.
If Work is reduced below Remaining Work, Remaining Work is set to 0h, and % Complete becomes 100%.
3. Editing Remaining Work updates % Complete automatically.
4. Editing % Complete adjusts Remaining Work accordingly.
