Email and Notification

Accessing the Settings scalenow AI

Navigate to Administration → Emails and Notifications to configure the following:

  1. Aggregation: Define how user actions are grouped into a single notification.
  2. Email Notifications: Configure outgoing email settings.
  3. Incoming Emails: Adjust settings for handling inbound emails.

Aggregation Settings

The User actions aggregated within option specifies a time interval for grouping multiple user actions into one notification. For example, if a user updates a work package twice within the configured interval, these updates are aggregated into a single action.

 

  • Effect on Notifications: Delays notifications by the defined time span, reducing the total number of emails sent.

Email Notification Settings

In scalenow AI Configure outgoing email notifications under the following options:

  1. Sender Email Address: Set the email address displayed as the sender for notifications (e.g., work package updates).
  2. Blind Carbon Copy (BCC): Enable sending notifications as BCC if required.
  3. Email Format: Choose plain text or HTML formatting for notifications.
  4. Recipient Naming: Specify whether recipients should be addressed by their first name or full name.
  5. Email Frequency: Adjust the frequency of notification emails for individual work packages.

Email Header and Footer Configuration

  • Define the content of the email header and footer for all outgoing notifications.
  • Choose a language for the header and footer content.
  • Use the Send Test Email feature to verify the email format (note: this does not test notifications for specific actions like work package updates).
  • Save changes after configuration.

Incoming Email Setting

To configure settings for inbound scalenow AI emails, navigate to Administration → Emails and Notifications → Incoming Emailsand adjust the following:

  1. Truncate Email Content: Define the number of lines after which an email should be truncated to avoid long, irrelevant content.
  2. Regular Expressions: Specify patterns for truncating email content.
  3. Attachment Handling: List attachment names to be ignored when processing incoming emails.

Save the changes after adjusting the settings.
